Detailed Job Description

Reporting to the Executive Assistant to the Chief Executive Officer, the Scheduling Assistant plays a key role within the Executive Office of the National Capital Commission by coordinating the scheduling system and logistics, including internal and external client meetings for the Chief Executive Officer. The incumbent ensures effective and efficient overall scheduling and coordinating logistics for the executive office. The incumbent:
  • Coordinates the scheduling system for the Chief Executive Officer by:
    • scheduling and coordinating logistics for meetings with senior representatives from all levels of government, (federal, provincial, regional and municipal), diplomatic missions; and other external clients and partners;
    • scheduling meetings with internal staff;
    • following up and confirming meetings;
    • managing approvals and comments associated with Memoranda to the CEO.
  • Ordering office supplies and refreshments, ensuring stock is replenished;
  • Coordinating the creation of files and maintaining a log for the Chief Executive Office;
  • Provides assistance to the Executive Assistant to the Chief Executive Officer and to the Financial and Executive Officer by:
    • maintaining a Bring Forward system for the CEO;
    • filing ad hoc requests;
    • preparing agendas and other documents needed for meetings with the CEO;
    • assisting with hospitality arrangements for the Executive Office;
    • providing administrative support to the Financial Executive Officer when requested;
    • replacing the Executive Assistant to the Chief Executive Officer in her absence;
  • Performs duties related to the executive vehicle by:
    • Ensuring the maintenance upkeep coordination; and
    • Tracking and providing the fleet mileage report on a monthly basis;
  • Drafts and prepares e-mails and general correspondence;
  • Performs messenger services for the Executive Office;
  • Prepares the Chief Executive Officer boardroom for meetings;
  • Other ongoing responsibilities include:
  • Represents the executive office on internal committees as required;
  • Maintains data base of external clients/partners who meet with the CEO in and outside of the National Capital Region (NCR) to be used for mailings such as annual reports, Christmas cards, etc;
  • Maintains the site visit log;

REQUIREMENTS
  • Successful completion of secondary school plus one (1) year of formal education. Preference will be given to candidates with secretarial training or experience or with a good basic knowledge of scheduling and coordinating logistics for meetings with senior representatives;
  • A minimum of three (3) years of experience in each of the following criteria:
    • Managing complex agendas in a fast-paced environment;
    • Managing mail (regular and electronic), telephone calls and invitations;
    • Performing administrative support activities and preparing various administrative reports and/or documents;
    • In working in a multi-disciplinary environment with changing priorities; and
    • In the use of computer software applications, such as Word, Excel, PowerPoint, Outlook, electronic agenda and Internet.
  •  Bilingual imperative: English CCC/ French CCC

KNOWLEDGE
  • Of the NCC’s mission, mandate, functions and activities;
  • Of general office administrative procedures and practices for an Executive Office;
  • Of the inventory maintenance of general office supplies and electronic equipment; and
  • Of the Access to Information and Privacy Acts and government policy on access to information and privacy.

ABILITIES
  • To develop and manage an Executive Office’s scheduling system;
  • To liaise with representatives from all levels of government (federal, provincial, regional and municipal) on behalf of an Executive Office;
  • To be details oriented with strong organizational capabilities;
  • To provide high level quality client services to both internal and external clients by responding in a timely, respectful, constructive and responsive manner;
  • To control, analyse and coordinate all information and action requests received by an Executive Office;
  • To manage mail (regular or electronic) and ensure proper follow-up accordingly to its degree of importance and/or level or urgency;
  • To represent an Executive Office on internal committees;
  • To set priorities and meet tight deadlines as well as adapt quickly to changing priorities and environments.
  • To communicate effectively both orally and in writing; and
  • To work within a team and with minimum supervision;

CONDITIONS OF EMPLOYMENT
  • Possess a Secret Security clearance.
