The Official Residences Branch is looking for a Finance and Administrative Assistant for a one year determinate position with possibility of extension and/or permanency. The position is classified as an RÉ-03 ($44,742 to $56,628 per annum). Candidates have until February 25th, 2018 to submit their application.

Detailed Job Description
Reporting to the Official Residences Division Manager, the Finance and Administrative Assistant provides general administrative services to the Director as well as operational support to all staff in the Division. The duties include processing/coordinating documentation, maintaining calendars, scheduling meetings, preparing preliminary files and background material for meetings, receiving and distributing mail and parcels and ordering office supplies. The incumbent processes and monitors operational/administrative and financial requests, entering and validating information in on-line systems (such as processing training requests, provisioning and de-provisioning, timesheets and overtime, etc.) The incumbent develops and maintains internal tracking/reporting tools and control systems (for items such as budgets maintenance and tracking, expenses, travel, etc.). The incumbent provides telephone/reception services, answering routine inquiries and re-directing or recording information for messages. The incumbent maintains various systems such as filing, correspondence, tracking and Bring-Forward systems to support the functioning of the office. The incumbent provides high level quality client services to both internal and external clients by responding in a timely, respectful, constructive and responsive manner.

REQUIREMENTS
- High-school diploma plus one or two years of formal education in a discipline related to the duties of the position or an acceptable combination of education, training and experience;
- Bilingual imperative: English BBC / French BBC;
- A minimum of three (3) years of experience in each of the following criteria:
- The provision of administration support services at a progressively more responsible level;
- Follow-up and coordination of incoming and outgoing correspondence in both official languages;
- Working simultaneously with different groups within a multi-disciplinary environment with conflicting priorities; and
- The use of computer software applications, such as: Word, Excel, PowerPoint and Outlook.
- Of the National Capital Commission and its mandate;
- Of the Official Residences and their objectives;
- Of general office administrative procedures and practices;
- Of proofreading and writing techniques such as grammar, punctuation and spelling.
ABILITIES
- To compile, analyze, prepare, organize and maintain information in an efficient manner;
- To set and resolve conflicting priorities;
- To work under pressure and meet tight deadlines;
- To arrange travel schedules, make necessary reservations, verify and complete travel expense reports;
- To communicate effectively both verbally and in writing; and
- To prioritize and organize workload and work with minimum supervision.
