Your challenge

Help bring research to life and drive your career forward with the National Research Council of Canada (NRC), Canada's premiere research and technology organization.
We are searching for a dynamic Administrative Assistant to work with the Director General in Finance.  The Administrative Assistant would be someone who shares our core values of impact, accountability, leadership, integrity and collaboration.
The incumbent will be responsible for a number of administrative duties for the Director General. Most importantly, you will manage and prioritize a complex flow of demands in partnership with the Director General. In addition, some of the duties of the position include: coordinating meetings; making travel arrangements; preparing correspondence in both official languages, preparing reports and presentations; establishing and maintaining filing systems, tracking and expediting the flow of documents and responding to general enquiries.
This position will appeal to a person who is well organized, who is detail-oriented, and who enjoys working as part of a team to deliver excellent client service.

Screening criteria

Applicants must demonstrate within the content of their application that they meet the following screening criteria in order to be given further consideration as candidates:

Education

Successful completion of secondary school according to provincial standards.
Post-secondary education in administration may be considered an asset.

Experience

Experience in providing administrative support services at a senior management level including managing and prioritizing all aspects of a busy executive office;
Experience developing and maintaining administrative systems such as files, logs, and databases and ensuring compliance to classification standards (i.e. Protected, secret, etc.) for records management purposes;
Experience drafting and proofreading notes, memos, letters, and written materials;
Significant experience using MS Outlook, Word, Excel, and PowerPoint;
Experience arranging meetings, coordinating travel arrangements and processing travel claims;
Experience processing financial transactions in accordance with current policy would be considered an asset.

  • Knowledge of office administration procedures and practices such as arranging meetings; making travel arrangements & processing travel claims;
  • Ability to manage multiple shifting priorities in a fast-paced environment;
  • Ability to use Microsoft Office Suite (Outlook, Word, PowerPoint & Excel);
  • Ability to demonstrate accuracy and attention to detail;
  • Ability to demonstrate discretion, tact and sound judgement; especially when reviewing sensitive or confidential information and determining the appropriate course of action;
  • Ability to prepare high quality texts.

Relocation

Relocation assistance will be determined in accordance with NRC's directives.

Salary range

  • From $45,738 to $58,163 per annum.
  • The incumbent who meets the language requirements will receive the Bilingualism Bonus of $800 per year.
