Summary
The Procurement Services Division of the Corporate Services Branch is looking for a Procurement Assistant for a term position until March 31st, 2020 with possibility of extension and/or permanency. The position is classified as an RÉ-03 ($44,742 to $56,628 per annum). Candidates have until February 4th, 2018 to submit their application.

Detailed Job Description

The incumbent provides administrative support services to the Manager, Procurement Services, Senior Contract Officers and Contract Officers. Maintains supplier source list up to date in the financial system, undertakes all necessary follow up and performs other related procurement duties. In addition, the incumbent provides administrative support to the Chief, Financial Operations.
As the front line person responsible for assisting the procurement and accounting operations in achieving and maintaining operational efficiency, attention to detail and commitment to quality work is imperative.
More precisely, the incumbent:
  • Validates new suppliers forms and enters the information in the financial system;
  • Follows-up with the respective internal division on supplier information modifications (tax number, business number, bank account, address, etc.) ensuring completeness and validation of information on the form;
  • Reviews delegated transactions in the procurement workflow; and
  • Is responsible for the management of the account payable mailbox.

QUALIFICATIONS
  • A college diploma in Business Administration or a field related to the position, or an acceptable combination of education, formal training, and experience.
  • Bilingual imperative: English BBB/ French BBB;
  • A minimum of one (1) year experience in:
    • Overseeing contracts and/or in  preparing and/or reviewing terms of reference and specifications and/or monitoring/reviewing/coordinating a significant corporate or administrative, financial information to ensure compliance with the requirement;
    • Use of computer based tools, including Word and Excel and an automated accounting system.
  • Capacity to deal effectively and fairly with contractors and clients;
  • Capacity to work in a team environment with a minimum of supervision;
  • Capacity to organize workload and resolve conflicting priorities; and
  • Capacity to interpret and apply procurement and contracting policies and guidelines.

CONDITIONS OF EMPLOYMENT
  • Possess a secret security clearance
