Duties
The incumbent:
Logistics - The incumbent performs storage and distribution functions for supplies, equipment, and materials designated for offices throughout the Gallery campuses (East and West Buildings, Connecting Link, Sculpture Garden, 601 North, 601 South and Landover, Maryland). Retrieves receives commercial shipments at the Gallery Warehouse on behalf of the requesting office; reviews bills of lading and purchase order to verify the accuracy, quantity and condition of goods received and enters shipment information into the appropriate ASD database. Maintains the “return to vendor” files and coordinates with vendors, APC, and the requesting Gallery office to return damaged and/or unwanted shipments to vendors. Receives controlled packages from various mail service providers, i.e., FedEx, UPS, DHL, USPS, etc; counts, signs and logs receipt of package(s); and delivers packages to the Gallery mailrooms for distribution and tracking. Prepares supplies, equipment and material to prevent damage during handling, transport and delivery to their destination. Uses a Gallery computer or mobile device to update the work order database immediately after each event.
Transportation - Incumbent is responsible for operating, safeguarding, maintaining, and dispatching Gallery owned and leased vehicles up to a gross vehicle weight of 15,000 pounds throughout the Washington metropolitan area. Operates Gallery vehicles to transport employees, official visitors, supplies, equipment and materials throughout the Washington, DC, Maryland and Virginia metropolitan area. Performs operator preventive maintenance, including washing and vacuuming functions, on Gallery owned and leased vehicles; fuels and refuels vehicles with the appropriate fuel octane grade; monitors and replaces fluid to the appropriate level; checks and secures hose connections; checks and replaces light bulbs; and checks tires for wear and maintains pressure according to manufacturer standards, GSA regulations, and Gallery policies. Prepares daily vehicle inspection reports, trip tickets, logs, and status reports; completes preventive maintenance records and accident reports as necessary; and reports vehicle accidents and technical problems to APPL Team Leader and/or Supervisor. Complies with the checklist of safety procedures; and maintains adequate and proper fire and safety equipment on all Gallery and GSA vehicles.
Personal Property - Responsible for assisting with the receipt, accountability and disposal of Gallery personal property, maintains property records and updates the property management database as required. Conducts annual property inventory in accordance with GSA and Gallery policy, Gallery inventory schedule, and supervisor request. Prepares personal property management reports and special program reports as requested by APPL Team Leader or Supervisor, prepares personal property management reports and special program reports as requested by APPL Team Leader or Supervisor. Performs the pickup, delivery and/or storage of property upon customer request, prepares Gallery property for donation, sale, and disposal in accordance with GSA and Gallery policies. Receipts for and prepares hazardous material for disposal in accordance with GSA and Gallery policies.
