About the Agency

The Earthquake Engineering Group conducts research into the performance of building and infrastructure systems under strong earthquake shaking. This work saves lives and property through improved building code provisions and design tools for engineers. The Administrative Office Assistant will perform adminsitrative and clerical activities to support the work of the Earthquake Engineering Group and the National Earthquake Hazards Reduction Program.

Duties

Duties: The incumbent will serve as an Administrative Office Assistant responsible for providing administrative support to the Earthquake Engineering Group (EEG). The incumbent will also provide administrative support to the National Earthquake Hazards Reduction Program (NEHRP), including executive-level personnel at the other NEHRP agencies (Federal Emergency Management Agency, National Science Foundation, and U.S. Geological Survey) and White House Office of Science and Technology Policy (OSTP) and the Office of Management and Budget (OMB) within the Executive Office of the President, represented in the Interagency Coordinating Committee (ICC). The incumbent will provide administrative office support by carrying out and coordinating day-to-day clerical and administrative support activities. Such activities include, but are not limited to:

Level III:

• establishing, organizing, and maintaining a current office filing system, including travel, purchases, contracts, Congressionally authorized advisory committees, correspondence, and other subject files, with guidance from Division Office Manager
• making travel arrangements, including preparing travel authorizations and vouchers, making reservations for both domestic and foreign travel, and coordinating travel for high-profile experts across the earthquake community, with assistance from Division Office Manager
• administering bankcard purchases and reconciliation, procuring office supplies, equipment, and services as required
• assisting the Division Office Manager in administering large-dollar purchases through the C-Request system, including supplies, equipment, and services, as well as task-oriented contracts
• composing draft non-technical correspondence; proofreading, editing, and composing meeting summaries for Federal Advisory Committee meetings and other activities, with guidance
• administering time and attendance
• coordinating, scheduling, and attending (for the purpose of supporting the meeting needs) internal, external, and Federal Advisory Committee meetings and other activities, and preparing meeting materials; preparing Federal Register meeting announcements and following up to ensure they are published within the required deadline, with guidance
• preparing paperwork to bring on and extend guest researchers using NAIS software.

Level IV:
