Duties

Incumbent serves as a Program Assistant in the Voluntary Service at the West Roxbury location of VA Boston Healthcare System (VA BHS), the largest consolidated facility in VISN 1 encompassing three (3) main campuses and six (6) outpatient clinics within a 40 mile radius of the greater Boston area. Inpatient beds are located on the Brockton and West Roxbury campuses primarily. VA BHS maintains strong affiliations with world-renowned medical schools which are an integral part of the operation of the facility.
Major duties include, but are not limited to, the following:

• Coordinates special event activities;
• Receives and refers callers and visitors, volunteers, employees, and patients;
• Assists with the recruitment, interviewing, orienting, and placement of volunteers;
• Receives donations and assures proper documentation and accurate depositing or distribution;
• Performs light typing duties;
• Assists in the maintenance of a variety of office files and records containing current and accurate information;
• Assists in writing thank you letters to contributors;
• Prepares any special reports required by the service that fall into the administrative areas;
• Performs other related duties as assigned.

Work Schedule: Monday thru Friday; 8:00 am - 4:30 pm.

Qualifications

TO QUALIFY FOR THIS POSITION YOU MUST MEET ONE OF THE FOLLOWING CRITERIA:
EXPERIENCE: At least one (1) full year of specialized experience equivalent to at least the next lower grade level (GS-4) in Federal Service that has given me the knowledge, skills and abilities required to perform the duties of a Program Support Assistant GS-5. Your work would have been assigned by a supervisor who defined objectives, priorities, and deadlines and your work would have consisted of performing a full range of standard and non-standard clerical assignments. Specialized experience includes: providing clerical support in an office where your responsibilities included a broad working knowledge of clinical administrative duties; maintaining records and files; using automated systems to track data and create reports; preparing correspondence which requires the knowledge of formatting, spelling, grammar and punctuation; coordinating meetings; and screening calls and visitors. NOTE: Experience must be fully documented on your resume and must include job title; duties; month and year start/end dates AND hours worked per week.

EDUCATION: Four (4) years of education above high school leading to a bachelor's degree in any field which high school graduation or the equivalent is the normal prerequisite. One year of full-time academic study is usually 30 semester hours or 45 quarter hours. This education must have been obtained at an accredited business, secretarial or technical school, junior college, college or university. NOTE: Transcripts must be submitted with your application materials. Education cannot be credited without documentation.

COMBINATION: Equivalent combination of successfully completed post-high school education and specialized experience, as described above, which meet the total qualification requirements for this grade level. For the GS-05 only the semester hours in excess of the first 60 semester hours can be used in place of experience. NOTE: Your experience must be documented in your resume and transcripts are required.
