This position is located in the Administrator's Office (A), National Gallery of Art. The incumbent reports to the Gallery Business Advisor, provides clerical and administrative support to the advisor and other senior members of the Administrator's front office.

Duties

The incumbent:

• Supports scheduling activities for the Deputy Administrator and supervisor's appointments; screens all calls and visitors.
• Receives all correspondence for the Administrator and Deputy Administrator. Maintains the correspondence tracking system to ensure that deadlines are met. Follows up to ensure the actions are completed.
• Screens and proofreads all correspondences prepared for senior "A" managers signature for clarity, completeness, and grammatical format, and procedural correctness.
• Uses Gallery software applications to prepare correspondences and documents for signature. Accesses documents in Oracle from the Office of the Secretary and General Counsel, ensures proper routing and signatures.
• Uses and manages the account of at least one Gallery purchase card.
• Assists the Deputy Administrator and other senior staff with managing condominium apartments owned and leased by the Gallery.
• Upon request, organizes data submitted to form various reports. Uses software applications to organize data into graphs, spreadsheets, or other media of representation.

Qualifications

SPECIALIZED EXPERIENCE: Applicants must have a minimum of one year of specialized experience at a level of difficulty and responsibility comparable to the next lower grade or comparable pay band in the Federal service or equivalent experience in the private sector.

Candidates must meet the Qualification Standards Handbook requirements for GS-318-08 . This requires at least 1 year of specialized experience equivalent to the GS-7 level in the Federal service. Specialized experience is providing administrative support to a business or government senior manager.

Candidates must reflect in their submitted USAJOBS résumés the possession of this specialized experience. If their résumés do not include such specialized experience, they will be ineligible for this position.
