Job Description

The Exempt Trainee will be assigned to a special project within Transportation Services Division, reporting to Team Leads on the Reorg Implementation and Workforce Transition Project. The Exempt Trainee will assist with key administrative and technological support tasks throughout the Reorg Implementation Project. The successful candidate will be technologically savvy with a strong attention to detail and excellent organizational skills.

Major Responsibilities:
  • Assists with coordination of appointments, events, and schedules
  • Exercises caution and discretion with labour relations, personnel and other confidential information
  • Types correspondence including that of a confidential nature
  • Takes/transcribes confidential minutes related to all facets of a confidential organization transition plan (i.e. including labour relations, personnel, budgets, etc.)
  • Assists with maintenance and coordination of complex record/retrieval systems
  • Works closely with PPF&A and I&T Divisions to facilitate relocation and coordination of computers (including access to software, programs, etc.), phones, office space, etc.
  • Assists team leads with space planning activities
  • May take on special projects, such as boardroom updates (to integrate new technology into the space and enable VILT/Webex communication)
Key Qualifications 
  1. Post-secondary graduate of college or university program in Business, Accounting, Information Technology, or equivalent combination of education and experience
  2. Experience with administrative/clerical functions and in handling a broad range of administrative matters, standard office practices and procedures
  3. Experience working with confidential materials and ability to exercise independent judgment and discretion in dealing with highly confidential operational matters and with management staff
  4. Experience in the use of a variety of software packages including advanced knowledge of Microsoft Office Suite, i.e. Word, PowerPoint, Excel and Outlook, to prepare correspondence, presentations, create statistical reports and charts related to organizing, analyzing and reporting data.
  5. Experience in the preparation and drafting of standard correspondence and reports, editing the layout and formatting complex reports, correspondence, charts, tables
  6. Must be resourceful, flexible, adaptable, and possess a high degree of common sense and initiative, and have excellent written and oral communication skills.
  7. Must be technologically savvy, with a strong attention to detail and possess excellent organizational skills.
