Job Description

Under the Officer’s supervision, issue invoices for statements of mailing/manifests from regional offices to record volumes and revenue on a timely basis, using the SAP computerized billing system.  In addition, ensure the accuracy of the invoices and that adjustments are made and maintained at an acceptable rate.  Check work performed and produce control reports.  The incumbent requires sufficient knowledge of CPC products, rates, policies and procedures in order to detect and resolve errors with statement of mailings.


Job Responsibilities

Below are the main job requirements and responsibilities for the Clerk, Order Management Process.

  • Ensure that all relevant information is available before producing invoices; in cases where the proper documentation or information is missing (on preprinted or handwritten documents), take the necessary action to obtain the information by contacting the offices, or by consulting the systems.  Check the customer’s number on the statement of mailing, record this number on the cheque or money order to ensure that each transaction is entered into the correct customer account.

  • Check that the rate used on the customer’s documents is correct and take necessary steps to recover amounts from customers.

  • Capture statements of mailing/manifests, and record the corrections made and the people who have been informed of these corrections, using the computerized billing system.

  • Compile and process readily available information following pre-established guidelines.  Prepare and distribute various daily, weekly and monthly reports.  Prepares spreadsheets and charts.  Maintain accurate and up to date information on various lists as required.

  • Responsibility to maintain accurate records, assemble, analyze and compile information, statistics and reports, cross reference all documents to ensure data accuracy and integrity.  Verifies various reports, identifies anomalies and ensures corrective actions are undertaken.

  • Inform the appropriate person (BSCs, Sales Support, post offices, sales representatives, etc.) of the irregularities found, so they can take appropriate action.

  • Contact and communicate directly with external customers (predominantly tiers 3-4), to exchange and obtain information pertaining to products, contracts and procedures.

  • Check data entry of statements of mailing in the billing system and authorize downloading.

  • Ensure compliance with internal procedures governing data entry, settlement of requests, etc. 

  • Inform the analyst immediately of any problem with the system, to take corrective action as quickly as possible and avoid producing incorrect invoices.

  • Respond to all requests for information from Head Office, representatives and contacts at regional offices. 

  • Remain informed of any changes made to communication/distribution products captured by our systems.

  • Research problem statements of mailing/manifests for Head Office or representatives.

  • Perform other related duties such as receiving mail, controlling batches and  rejects, and following up on missing batches and/or problems, mailing items, cheque deposits and other duties required for the smooth operation of the section. 



Qualifications

Education
  • Completion of secondary school according to provincial standards or equivalent (GED) is required AND
  • Completion of post-secondary (College/University) courses in a related field is required.

Experience
  • 1-3 years of related work experience is required.
