Summary
The Administrative Assistant, Operations Coordination, provides administrative support to the Operations Coordination Team (OCT), the National Service Line Leaders and to the Executive Management Group (EMG). The incumbent carries out administrative activities that are, typically of moderate complexity and scope. The incumbent provides high-quality, timely, efficient and effective administrative support services including data processing, documents and record management, invoice processing, data quality control and reporting.
Primary
- Provide daily administrative support
- Process time entry, review data (e.g. total hours, pay types), validate that entries are compliant with policy, track flex days and create time entry reports for approval
- Coordinate OCT-related national forums, service line conferences, monthly conference calls and operations meetings (e.g. find venue, obtain approvals, compile and assist with presentations, agenda and handouts, prepare and administer the budget, and assist with travel arrangements)
- Assist with developing, drafting, editing and formatting various documents (e.g. reports, bulletins, forms, spreadsheets, and presentations)
- Organize meetings (e.g. confirm attendees availability, send invitations, prepare documents for distribution, create agendas), attend and write minutes
- Create and edit intranet pages (e.g. add documents)
- Administer document and records management (electronic and hard copy filing, archiving)

- Coordinate translation
- Provide back-up reception duties, as required
- Other duties as assigned
General and Specific Knowledge
- Best practices in administration
- Accounting principles
Formal Education and/or Certification(s) and Experience
- Minimum: high school diploma with two years’ experience, or the equivalent
- Preferred: college diploma or certificate in administration, business management or related field
Abilities
- Use applicable computer software and operating systems
- Be bilingual – English and French (mandatory)
- Manage multiple deadlines and priorities
- Demonstrate attention to details
Development and Leadership
- Provide functional advice and guidance to employees
Working Conditions
