Duties

Employee will be assigned to Pathology & Laboratory Medicine Service (P&LMS), VA Medical Center, Memphis, TN, providing office automation, secretarial, clerical, and administrative support for the entire service. Duties include, but may not be limited to the following:

• Serve as the office automation assistant for the Anatomic Pathology department;
• Transcribe dictation from pathologists;
• Enters data into anatomic pathology reports;
• Type documents from voice recordings or handwritten in final form;
• Use personal computer to create, copy, and edit documents;
• Type specialized medical terminology, and utilizes special reference materials such as medical dictionaries or scientific manuals;
• Type letters, memos, papers, and other documents on a recurring basis; generates reports; and maintains patient files.
• Maintain and prepares meeting minutes; may schedule appointments and coordinate meetings; maintains and orders office supplies; and assists with timekeeping.
• Operates, maintains, and troubleshoots office equipment.

Work Schedule: Monday - Friday, 8:00am - 4:30pm

Qualifications

THERE IS A TYPING PROFICIENCY REQUIREMENT: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.
SPECIALIZED EXPERIENCE: Applicants must possess (1) year of specialized experience that equipped them with the knowledge, skills, and abilities (KSA's) to perform successfully the duties of this position, and that is typically in or related to the work of this position. To be creditable, this experience must have been equivalent to the next lower grade level in Federal service. Specialized experience includes: knowledge of medical terminology; transcribing data; preparing a range of correspondence (such as letters, memos, reports); maintaining patient files; preparing meeting minutes; receiving and directing callers and visitors; and assisting with timekeeping.

SUBSTITUTION OF EDUCATION FOR EXPERIENCE (Transcript Required): Possess the successful completion of (4) years of education above the high school level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university for which high school graduation or the equivalent is the normal prerequisite. One year of full-time undergraduate study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial or technical school.

COMBINING EDUCATION AND EXPERIENCE (Transcript Required): Possess the appropriate combination of successfully completed post high school education and experience may be used to meet total qualification requirements.

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

PHYSICAL REQUIREMENTS: The work environment involves everyday risks or discomforts, which require normal safety precautions typical of such places as offices, meeting and training rooms. The work area is adequately lighted, heated, and ventilated. The employee prepares non-biological laboratory specimens and documentation for transport.
