Duties
This position is located in the Support Services Division, Milwaukee Regional Office, Milwaukee, WI. Based on a sound knowledge of the organization and programs under the SSD's span of control, the incumbent independently resolves problems associated with the administrative and operational functions of the SSD.
As a Program Support Assistant for the Veteran Benefits Administration you will:
- Assist in establishing and maintaining controls of reports for division-wide Systematic Analyses of Operations (SAO) and internal controls in order to ensure timeliness and accuracy.
- Establish completion timeliness, follow up with the identified points of contact, and serve as the primary reviewer of the completed report for typing, grammatical and content errors.
- Assemble monthly photocopy count data and mailroom count data (to include incoming/outgoing mail count, presort mail count, presort savings, delivery runs, etc.) for submission to appropriate entities. Analyze the data gathered to determine and evaluate results, trends and developments.
- Write instructions needed to implement changes in reporting procedures and complete daily reporting of work accomplished and pending.
- Maintain the SSD Report Log system to ensure deadlines are met for all reports, quality assurance reviews, and audits. Compile, maintain and analyze data for completion of reports (i.e., GSA vehicles, Transit Benefits, etc.).
- Be responsible for control and preparation of internal reports, including monthly, quarterly, semi-annual and annual reports.
- Process incoming and outgoing mail and process express mail. Assist in the management of the unit mail management system.
- Ensure that incoming public inquiries, and that staff mail, is properly opened, logged, read, date stamped and sorted into established categories for distribution to appropriate units and staff.
- Improve mail methods, procedures and systems by adapting or changing established mail procedures.
- Review and research returned mail to determine the reason(s) for its return and route mail to the appropriate unit for action.
- Set up, operate, adjust, maintain and monitor the operation of single- or multiple-function equipment typical of a mail, duplicating and reproduction function, such as a high speed printer and other printers, a scanner, copiers, an electronic date stamp machine and mail meter machines.
- Diagnose equipment malfunctions and operating problems, and perform corrective adjustments. Perform operator maintenance such as daily clean up and lubrication. Perform minor repairs to copiers.
- Ensure identification and isolation of suspicious letters and packages to include explosive devices or any chemical, biological or radiological substances.
- Reproduce veterans' records using a photocopy machine and/or a microfiche printer. Reproduce, and make initial distribution to the various divisions, regulations, circulars, forms and other items transmitted to the Publications Control Officer (PCO) mailbox.
- Take forms and publications orders. Maintain an inventory of forms and orders forms when necessary. Conduct an annual inventory of forms stock and determine the need for replenishment, which forms need to be recategorized as "low usage," and/or which forms need to be discontinued. Also perform a semi-annual forms review to ensure that all divisions with the RO are using the most current forms available.
- Ensure that adequate supplies are maintained and oversees the receipt of bulk supply orders and the distribution of supplies to operating divisions. Analyzes supply levels on a recurring basis to determine the rate of utilization and advise the Support Services Specialist when supply orders are required.
- Receive, warehouse, issue and maintain stock levels for a wide variety of supplies, for office furniture, for office machines, and for other non-expendable items.
- Operate office automation equipment for preparation of correspondence and reports. Serve as alternate liaison for identifying computer malfunctions within the division and notify the systems administrator of problems.
- Act as liaison between the Chief, Support Services or the Supervisory Support Services Specialist, and other divisions and staff, by providing guidance and assistance on procedures, report requirements, deadlines and related matters.
Promotion Potential: This position will be filled at the full performance level of GS-06.
