Duties

Employee will serve as a Program Support Assistant (Office Automation) assigned to Social Work Service located at the Mid-Atlantic Veterans Healthcare System in Greenville, NC. This position is responsible for data collection, analysis of trends, implementation of best practices, and providing staff support of office operations, information management, coordinates/integrates information necessary to the effective and efficient operation of Department of Housing and Urban Development and Veterans Affairs Supportive Housing (HUD/VASH). Duties will include but may not be limited to the following:
  • Data Collection and Tracking Support: collects, compiles, tracks and performs analysis on data and statistical information, and reports results based on program/project studies. Establishes protocols for incoming data, organizes and retrieves computerized data sets and generates a variety of reports. Coordinates incoming data from a variety of sources, reviews documents, reports for omissions/ inconsistencies and ensures data entry is accurate. Enters pertinent information into an automated tracking system, maintains program-specific data and tracks and advises of suspense items for project milestones, progress reports, accomplishments, and compliance strategies, etc.
  • Program Support: serves as timekeeper, initiating and maintaining records. Receives and screens telephone calls and correspondence and distributes as appropriate. Schedules supervisor and other staff appointments and conference; maintains supervisor's calendar, initiates timely appointment reminders. Takes minutes of staff meetings, committee meetings and transcribes in final format. Prepares a variety of correspondence in final form, ensuring correctness (i.e., punctuation, grammar, spelling, style conformance, etc.) Maintains inventory of office supplies.
  • Research/Program Resources Support: performs acquisition work and/or completes special research projects in support of policy development and/or program activities. Has a practical knowledge of bookkeeping and budget management to interact with Fiscal Service and maintains control points records.
  • Has ongoing regular contact and interaction with veterans, employees, members of the community, the general public, other government agencies, etc. Utilizes effective skills to assess the immediate/urgent needs of patients who are psychiatrically/medical ill, and present to the Homeless Program. Provides patient interface appropriate to the cognitive, emotions, and chronological maturation needs of patients.
WORK SCHEDULE: Monday-Friday, 8:00am - 4:30pm. In order to meet program missions, may be required to alternate work schedules, including evenings, weekends and holidays.
