Duties
As a Project Assistant, you will perform a wide variety of duties to support work performed by this organization. You will perform time and attendance duties using the Corps of Engineers Financial Management System (CEFMS), insuring labor charges are appropriately assessed to projects currently being worked on and overtime and leave authorizations are properly documented. You will obtain data/information/costs as required to support the Administrative Support Assistant in the budget/financial accountability of the Area Office. You will serve as principal receiving agent for supplies, materials, equipment, and non-personal services. You will assist in maintaining hand receipt inventory for Resident Engineer, posting new property, sub hand-receipting property to other employees, performing non-expendable inventory accountability and preparing documents for transfer or disposal. You will also perform the following duties:
Prepare travel orders, make travel arrangements, reimbursement vouchers, and training requests for Resident Office employees in CEFMS
Maintain numerous computerized data files using various software programs
Manipulate data and extract numerous types of reports
Initiate payment documents, charging cost to proper account including credit card purchases
Reconcile monthly credit card statements
Receive visitors and telephone calls and refers them to proper person or furnishes information requested.
Distribute mail and review outgoing mail for attachments, dates, signatures, complete addresses and distributions
Disseminate information to office personnel, including outlying field and project offices, such as health insurance, changes to travel regulations, district publications, etc.
